Welcome letter
- This is document which is used when mailing users their randomly generated passwords. You can use merge fields from the list below:
The fields are as follows: {addressee} {county} {country} {district} {email} {forename} {fullname} {honours} {housename} {housenumber} {linkedstudents} {linkedstudentstable} {multilineaddress} {pagebreak} {password} {postcode} {salutation} {schooladdress} {schoollogo} {singleLineAddress} {street} {surname} {title} {todaysdate} {town} {username}
Banner text
- This text will be displayed as the header for Insight. If this is left blank then the school name, head teachers name, main site address, telephone and fax numbers, and email address will be picked up from SIMS and displayed. You can use the blue HTML button icon the right of the tool bar to make more complicated changes than the other tool bar buttons would allow. If you are leaving this empty to show the default banner, you can remove the email address by using the "Hide the schools email address on the default banner" preferences within the email section.
Login text
- This option allows you to add a message that will show in the log-in box when the user attempts to log-in. This message could give extra information about the username and/or password, e.g. the username is case sensitive. Also, you can give details here about where the user can find more information if they are unable to log-in.
Notices
- Show these SIMS events
- Certain SIMS diary events can be displayed to users as Notices. Select here which events are to be treated this way.
Assessments
- Only show the most recent resultset-less Assessment Manager grades.
- This option is normally used when you are not using the resultset in SIMS to manage grades, and will display the recent grades for your own setup.
Attendance
- Hide attendance menu items for the following year.
- If attendance information is not being collected for certain years, you can remove the menu from users scoped to students in those years. Enter the year numbers of those years for which you wish to hide attendance menus, separated by the plus symbol. For example, to hide attendance menus for sixth form students you could enter 12+13.
- Hide marks in attendance summaries for the current day.
- Use this option if you do not want to see the attendance summaries for the current day.
- The number of days taken to validate attendance marks for attendance summaries
- If you do not want to show very recent attendance records, for example if they are not yet validated by an Attendance Officer, you can enter a number of days here for which the marks are considered to in the validation range. You can use -1 to mean "this week".
- Hide marks in attendance summaries in the validation range
- Leave this box unchecked to show marks in the validation range in a different colour to marks outside of the validation range, or check it to hide those marks completely.
- Only use AM sessions.
- Select this option if you want to see the morning sessions only.
Lesson marks
Where school takes lesson registers, these attendance marks will be shown on overviews, timetables and similar displays. If the taking of lesson registers is not rigidly enforced in school, you may want to hide all references to such attendance data. If so, place a check mark against this option.
- Hide all references to lesson marks
- If the recording of lesson registers in not enforced, you may want to check this option to prevent parents seeing a patchy record.
Insight can trust up-stream authentication providers to identify users. If you want Insight to trust a provider in this way, enter the URL of the authenticating web page here.
Batch PDF conversion
- Username of machine administrator for second stage impersonation.
- Password of machine administrator for second stage impersonation.
- Username and password if you want to convert docs to PDF and/or upload PDF docs
Behaviour
- Multiply behaviour points by this factor.
- If you want to show the behaviour points by a different factor you can indicate this here. This may be to use them differently to how the behaviour points are used in PARS.
- Hide behaviour menu items for the following years
- If behaviour information is not being collected for certain years, you can remove the menu from users scoped to students in those years. Enter the year numbers of those years for which you wish to hide behaviour menus, separated by the plus symbol. For example, to hide behaviour menus for sixth form students you could enter 12+13.
- Your SMTP server name or IP address
- This must be entered in order for INSIGHT to send emails. You should also ensure that the mail server is configured to relay emails from the Insight IIS server.
- Username used to authorise against the SMTP Server
- If your mail server requires authentication to send emails, enter the username here.
- Password used to authorise against the SMTP Server
- If your mail server requires authentication to send emails, enter the password here.
- Your Reply To email address
- This is the address from which emails sent from Insight will appear to have originated. Additionally, when users reply to emails sent from INSIGHT then this is the email address that will be used. If the account is not monitored, it would be wise do use an address similar to donotreply@school-name.auth.sch.uk.
- Optional display name for sender
- Rather than showing the senders email address, you can also enter a fixed originator to help recipients identify you more easily.
- Enable SSL for SMTP
- Check this box to use secure email.
- Optional port to use for SMTP (leave empty for default)
- Port 25 is the default SMTP port, but you may need to specify a different port
- Code inserted into subject fields used for spam rules on internet email
- You can use text here with anti-spam rules at your SMTP server.
- Hide the schools email address on the default banner
- Check this option if you are concerned that the schools email address could be scraped.
- Introductory message for Email
- This is the message used when notifying users of their password via email.
- Forgotten password message for Email
- When you compose a forgotten password email this will be the default message.
- Message to send when a username changes as a result of an email address change
- When changing an email address, the email-like user name of the user is not automatically altered. This is done using the Match operation on the Users page. This preference is the email message. You can use the merge fields {oldemail} and {newemail} in this message.
- Redirect all "contact" emails to this address
- When a user contacts a staff member within Insight, an email is sent to the staff member's address, although the user will not see the address themselves. If an email address is entered here, ALL inbound contact email addresses will instead be redirected to that account instead.
- Text to display in the forgotten password box
- Leave empty for the default, or a single space to clear any text.
- Address to send forgotten password requests to when the user has no email of their own
- If a user has an email address against their account, forgotten passwords can be mailed directly to them. For those users who do not (and either have no mobile number stored, or where no provision has been made for sending SMS messages), a message is instead send to this address informing the recipient that a certain user will need to be re-informed of their password.
- Send emails to these addresses when an absence is reported
- Send emails to these addresses when an address change is requested
- Send emails to these addresses when a telephone number change is requested
- Send emails to these addresses when an email address change is requested
- Send emails to these addresses when an attribute change is requested
- Send emails to these addresses when a forum post is reported
- Leave empty for no emails, or enter a semi-colon separated list. You can send test emails to any of these addresses by clicking on the Send a test email link. Make sure you have clicked "Update" first to commit any changes you may have made.
Insight can show parent users their children's exam results. Due to the lead time between exam results being available within SIMS and the allowed publication date, you can set the day of the month before which Insight will not display exam results.
Exams
- Hide exam menu items for the following years
- You could enter for example 7+8 to hide exams information for years seven and eight.
- Number of days to hold back exam results
- Use this to delay the publishing of exam results, from the date of import. Leave blank (or zero) to publish as soon as they are in SIMS, which is before the usual release date. If this is set to 1, the results are published in Insight on the date 1 day after the import date, at 6AM, which is not changeable. If it is set to 2, the results are published in Insight on the day after the previous example, again at 6AM.
- Number of days to hold back exam results for years 12 and up
- If you have a different requirement for exam delays, please specify the number of days here.
Exchange calendar
- URL of Exchange Web Services - please include protocol and EWS/exchange.asmx
- Username of user to connect to Exchange Web Services
- Password of user to connect to the Exchange Web Services
- Domain of user to connect to the Exchange Web Services
- Enter the URL of the Exchange Web Services; setup the access credentials and the domain.
- Check parental users against current SIMS contacts at login
- Enabling this option means that at the point of logging on, additional checks are made to ensure that the user has continued access to the student's data regardless of current student links
- Time between logout reminders
- Enter a number in minutes to specify the frequency of the pop up logout reminder.
- Hide the cancelable SSO message during sign in
- During some single sign-on attempts you can optionally display a message to the user allowing them to cancel the sign on and enter credentials directly.
- Prompt for email address when none present on first login
- When a user without an email address first logs in, enabling this option means they will be prompted to enter an email address as well as a replacement private password.
- Message to use when sending PINs
- Users in some roles are required to enter a PIN sent to them either via email or SMS. Here you can specify the message sent to them, and use the merge fields {pin} and {validuntil}.
- Allow unreachable users to bypass PINs
- If a user's PIN is not working this option will allow them to bypass this check
- Prompt parental users without email addresses to supply an email address at log on
- When a user without an email address logs in, enabling this option means they will be prompted to enter an email address as well as a replacement private password.
- Extension time in minutes to PIN expiry
- If you feel that the five minute PIN window is unsuitably short, you can add on an extension by entering the number of minutes here.
- Prefer email when sending PINs
- If your preferred method of PIN notification is email then select this option.
- Trust this host as an authentication provider
- This field has different meanings for different types of Single Sign On. It should either be the URL of a referrer page or a semi-colon separated domain name list.
Parents evenings
- Limit parents evening bookings to one member of staff per evening per user
- Enabling this option prevents users overbooking appointments to the same member of staff.
- Force a break between parents appointments
- Use this option to ensure that parents cannot book adjacent slots.
- Text to show when a break is forced between parents appointments
- If you are using the previous option, you can specify how the forced breaks appear.
- Make break exemptions for consecutive appointments with the same member of staff
- If you want staff members to have consecutive appointments without breaks
- Show staff photos
- To add and show staff photographs
- Use all classes run during the year, not just those active on the evening
- If the student has studied different aspects of a subject during each term, for example, biology in term 1, chemistry in term 2, then selecting this option allows the user the choice to book appointments with any teacher who has taught the student during the year.
PARS
If you are using PARS, and have the option selected in the Service Controller, you will see a section here to allow Insight to present PARS data in place of SIMS data in key areas. Check each area for which you would rather see PARS data.
- Store generated Student Review XML data in the temp folder
- This can be useful for checking report designs when first setting up the system.
Information which is input in PARS.net can be collected and viewed from Insight by enabling the preferences below:
- Collect Behaviour information from PARS
- Collect Detention information from PARS
- Collect Report Card information from PARS
- Collect Assignments from PARS
Photographs
- Show anonymous images in place of student photographs
- Enable this option to show anonymous avatars in place of real student photographs.
Proxy
If the Insight IIS server needs proxy information to reach the Internet for outgoing requests, enter the Proxy details here. Entering DEFAULT for the proxy name will use standard Internet Options from Windows. Otherwise, enter the proxy in the form 10.0.0.1:8090. If your proxy requires authentication, enter the username and password below, and if the authentication is based on domain credentials, enter this here also.
- Your Web Proxy details
- Enter either DEFAULT in the Proxy server:port field to use the default proxy, or enter the address as either a DNS name or IP address, followed by a colon, and then the port number. Depending on the proxy you use, you may have to specify access credentials, and possibly even a domain.
Reports
- Use the SIMS Pupil Report field to decide whether to show reports
- If a user can be identified with a student's contact in SIMS or not reports will be shown (this is the same as not enabling this option). Enabling this option will base the decision of whether reports are shown or hidden on whether the Pupil Report field in SIMS is selected or not. Hence, if this option is enabled and if the Pupil Report field in SIMS is selected reports will be shown however, if the Pupil Report field in SIMS is not selected then reports will not be shown.
SIMS Write-back
- Activate SIMS write-back for address change requests
- Activate SIMS write-back for email address change requests
- Activate SIMS write-back for telephone number change requests

- You will have been given these passwords already by the vendor.
SMS
TextAnywhere
Insight can use the TextAnywhere SMS gateway to send test messages. If you already have an account with TextAnywhere, enter the authorisation information here. You can modify the welcome SMS message in a similar way to the email message. If you want replies to outgoing SMS messages to be collected by an email address, enter that address in the 'Email address for SMS replies' field.

- If user changes are to be sent to an umbrella service, enter the URL here.
- URL of this insight installation for the Umbrella service to use
- Enter the accessible URL to your Insight installation.
User creation
- Never use email addresses for usernames when synchronising parents
- Email addresses can change, which could cause confusing, and additionally email addresses for external domains are not valid usernames for Active Directory purposes, so you may want to use this option to ensure everyone has similarly styled usernames.
- Only create users for contacts with parental responsibility
- Checking this option means that users will not be created for contacts without parental responsibility
- Only create users for contacts with Priority 1
- It is possible but unusual to have more than one Priority 1 contact; checking this option means that only Priority 1 contacts will be made into users.
- When considering contacts with Priority 2 or lower, only create users for non-cohabitees of the student
- If you are allowing users to be created for lower priority contacts, enabling this option prevents duplication of "household" accounts by only creating accounts for non-cohabiting lower priority contacts.
- Disregard contacts with no email in SIMS
- If users do not have passwords in SIMS then accounts will not be created by selecting this option.
- Deactivate a user's links when the contact has no email in SIMS, and previously an email was found
- If you are using the presence or otherwise of a contact's email address in SIMS to denote 'IT active', you can deactivate links during a Synch operation based on this preference.
- Create users for contacts with court orders
- By default users will not be created for contacts with court orders, but this can be achieved if required by checking this option
