The bulk import feature can be used to import multiple pupil email addresses into your SIMS database. In order to do this, you will need a .csv file that contains an identifying number for each pupil as well as their email address.

Bulk import emails can be accessed via:
PARS main menu > System management > Bulk import emails

The .csv file

You must have a .csv file containing all of the pupils' email addresses. All of the email addresses should appear in column two of the .csv file. In the first column, you must have a unique identifying number for each pupil (you do not need the pupils' names in this file).

The identifying numbers that can be used are:

Identifying number Example
ADNO 004353
UPN M820200105001
Person ID 9440

You only need to use one of the identify numbers on your .csv file.

If you do not know any of these numbers for your pupils, you can find the ADNO or UPN by using custom behaviour reports or you can find the Person IDs by using personal reports. It doesn't matter which identifying number you use.

Your completed file will look something like this:

004535 j.doe01@school.org
004530 j.doe02@school.org
004528 j.smith01@school.org

Importing the file

First use the drop-down to select which identifying number you have used on your .csv file.

Next click the "Select file" button from the top toolbar and browse to the file on your computer. A summary of the new emails and any existing addresses will then load.

If a row is highlighted in green then that import was successful. You will always see the Person ID for the pupils as well as the identifying number that you chose. The "Email address" column shows you the new addresses that you were trying to import.

If you have red rows where the pupil's name is ", (No Reg Group)" then you probably had empty rows on your .csv file - this is nothing to worry about as PARS will skip over incompatible rows.

Next, click "Import Emails". You will be asked whether you want to overwrite any existing emails or not.
