Behaviour referrals can be used to pass a behaviour incident onto another member of staff when you want them to deal with it instead of you. This might be because that staff member has access to higher level outcomes than you, or because certain incidents are always dealt with by the HoY for example.

If you want to alert another member of staff about a behaviour incident but do not expect them to do anything about it, then you should use configure alerts instead.

This page is accessed via:
PARS main menu > Behaviour > Configure > Behaviour referrals

The Behaviour referrals page

At the top of the page there are five check boxes. These affect whether or not staff will need to make any extra clicks when dealing with automatic referrals - don't worry about what exactly this means. We recommend that you tick all boxes except for "Never refer".

Adding staff members and staff types

You can choose which staff members are on the referral list when adding behaviour incidents. You might have named staff such as 'Mr L Bell" or you could have staff types such as 'Head of Year'. If you are using staff types, then PARS will work out which staff member to send the referral to for you. To add a staff type, click the "Add staff type" button from the top toolbar. Any staff groups you have setup can also be added here - see group manager for more information about staff groups.

If you want to add named staff instead of staff titles, then click the "Add" button from the top toolbar. This will open a window allowing you to choose which staff members to add the referral list.

Deleting staff members and staff types

If you want to delete a staff member of staff type from the referral list, you should select them then click the "Delete" button. You may not be able to delete staff from the list if they have previously been used in referrals or if they are required by the system. In this case you can hide them, so that they do not appear on the referral list when adding a behaviour incident.

See the "Staff members" section below for information about how to do this.

Renaming Staff types

If you want to edit the titles that PARS uses, then select the staff type and click "Edit title". This will open a window where you can rename that staff type.

Referral options

There are various options that you can set for your referral recipients. To view or edit these options, select the staff that you want to edit, then click the "Edit" button from the top toolbar. There are five different tabs in the window that opens, which are explained below.

Staff members

Here you can define who is able to see and send referrals to the staff member in question.

All users

If you have selected "All users" then everybody will be able to see this staff member on the referral list. There are four options, one for each type of behaviour. If you tick any of these options, then the staff member will automatically receive referrals whenever this kind of behaviour incident is recorded for any pupil.

Only the users shown below see this person by default

If you have chosen "Only the users shown below see this person by default" then you decide who can see the staff member. Click the plus button on the right of the window to add people who are able to see the staff member. If no one is added, no one can see the staff member - this is how to hide staff from the referral list if they cannot be deleted. You can remove people from the list by clicking the minus sign in the "Delete" column.

When you have added people to the list, there will be four check boxes, one for each type of behaviour. If you tick any of these options, then the staff member will automatically receive referrals whenever the person on the list adds a behaviour incident of that type for any pupil.

Pupils

You can use this tab if there are specific pupils you want to keep an eye on. If the staff member wants to always receive referrals for behaviour incidents involving certain pupils then you should add them to this list by clicking the plus button on the right. When a pupil has been added to the list, there will be four check boxes, one for each behaviour type. Choose the types of behaviour that the staff member is interested in, for these pupils only.

Groups

Similar to the pupils tab above, you can use this tab to keep a track of groups instead of individual pupils. If the staff member wants to always receive referrals for behaviour incidents involving certain groups of pupils then you should add them to this list by clicking the plus button on the right. When a group has been added to the list, there will be four check boxes, one for each behaviour type. Choose the types of behaviour that the staff member is interested in, for the pupils in the group.

Grounds

You can add grounds that the staff member always wants to receive referrals for. Typically these will be high level grounds such as fighting or discrimination. Select any grounds from the list, for which the staff member should always receive referrals.

Outcomes

Similar to the grounds tab, you can add outcomes that the staff member always wants to receive referrals for. This is very useful if you have outcomes such as "Refer to HoY" as this ensures the referral will always be sent when adding a behaviour incident with this outcome.
