Email address changes

Insight can be used by parents to inform you of changes to their email address(es), via the personal details page. Parents will have to provide their new address, and whether the reason for change is opening a new account, or correcting an error such as a typo. Parents' ability to use this feature is set using the role options.

The email address changes page is used to manage request that parents have sent to you. If a change of email address has been requested, it will need to be authorised by a member of staff before any action is taken. All pending requests will be shown, as well any previous requests which will have either been approved or denied.

To deal with a pending request, first click on it so that it is highlighted in blue. Next, click the globe button from the top left of the page. This will open a window where you can view the details of the requested change, and decide whether to approve or deny it. You may wish to phone the contact to confirm that the request is genuine.

If you want approved email address changes to write back to SIMS automatically, then you can activate the relevant preferences under the SIMS write back section (note that an email address will change will always need to be approved before writing back to SIMS).

Regardless of whether or not the change writes back to SIMS, accepting a parent's email change request will never also change their username. If you are using email addresses as usernames, then an admin user can update the parent's username to match their new email address, by using the match button on the users page.

Under the email section of preferences, you can also find a field allowing you to specify an email address(es) for messages to be sent to whenever an email address change is requested. If you do not enter an email address(es) in that preference, then a member(s) of staff will need to periodically check the email address changes page to find out if any new requests have been made.
