Address changes

Insight can be used by parents to inform you of their new address after moving home, via the personal details page. Parents will have to provide their new address and the reason for change i.e. moving home or correcting an error. Parents' ability to use this feature is set using the role options.

The Address changes page

The address changes page is used to manage requests that parents have sent to you. If a change of address has been requested it will need to be authorised by a member of staff before any action is taken. All pending requests will be shown, as well any previous requests which will have either been approved or denied.

Insight can be configured so that an email alert is sent to a staff member whenever an address change is requested and these changes write back to SIMS automatically, once approved by staff.

Managing requests

To deal with a pending request, first click on it so that it is highlighted in blue. Next, click the house button from the top left of the page. This will open a window where you can view the details of the requested change, and decide whether to approve or deny it. You may wish to phone the contact to confirm that the request is genuine.

If more than one person lives at the address, then you will also have to decide which people are moving unless the parent entered this information when they requested the address change.

If you want approved address changes to write back to SIMS automatically, then you can activate the relevant preferences under the SIMS write back section (note that an address will change will always need to be approved before writing back to SIMS).

Under the email section of preferences, you can also find a field allowing you to specify an email address(es) for messages to be sent to whenever an address change is requested. If you do not enter an email address(es) in that preference, then a member(s) of staff will need to periodically check the address changes page to find out if any new requests have been made. Note that the email section of the preferences page must contain the details of your mail server in order for Insight to send emails.
