The Students page will show a list of all pupils at the school. There are two formats that this page may appear in, depending on how your permissions have been set on the users page; the Full View or the Simplified View.

The Students page will always be used to record information about pupils. If you are using the Full View, then this page can also be used to review information that has been recorded about the pupils, as long as the information is not above your clearance level.

Full view

When you are using the full view, you will see a list of pupils and various information fields about them, such as their SEN status, if they're eligible for Free School Meals, Pupil Premium, etc.

To open a pupil's file, click the green "Open" button.

If you have been provided the permission Archivist under the users permission screen you will then have the ability to archive or transfer students to another school.
If you do not have this permission then you will see the green open button only and the red archive and amber transfer buttons will be hidden.
User will also be able to create a concern for a student by selected the blue New Concern button.



Chronology

Chronology.jpg The Chronology shows a history of the information recorded for a pupil.

For each incident, you can see the clearance and severity level, as well as the summary and the nature of the concern, the date and time the incident was recorded and the chronology date and whether or not it was reviewed and also the description (taken from the selection of the Framework Assessment).

You also have to the right hand side of the entry an associate icon, this represents the initial concern entered as it may have been entered some time ago and may appear on a different page, so to save you from searching for the original entry, simply click on the associate icon to open the original concern (shortcut).

Attendanceicon.jpg Represents the student Attendance, and this will be shown as a percentage.

Concernicon.jpg Represents a student Concern that has been recorded.

Meetingicon.jpg Represents a Meeting that was required either following a student concern or created separately.

Correspondenceicon.jpg Represents a Correspondence that was required either following a student concern or created separately.

Actionicon.jpg Represents an Action that was taken either following a student concern or created separately.

If an incident's clearance level is not higher than yours, you will see a link that says "Open", if it is then a blank area will appear, not allowing you to view the concern.
You can click on this link to view the full details of the incident and schedule any required actions relating to that incident.

If the incident is required to be deleted, click on the delete button, for security the information will still exist, however a line will be put through the entry and the delete button will not be displayed any further, and the open button will be centralised in the area as shown in the image to the left.
If you do not have a high enough clearance then the open button and summary will not be displayed.

You will also see "New chronology entry" link, which allow you to record new information about the pupil.



Personal details

Personal details.jpg The personal details tab will show basic information about a pupil, such as their familial links, SEN status, FSM eligibility, etc.

You will also be informed if the student is on a child protection plan.



Framework summary

FACIN.jpg Every time a piece of information is recorded, a category must be chosen from the Framework Assessment triangle.

The framework summary gives an overview of the Framework Assessment categories that have been selected, as well as the varying levels of severity for the information that has been recorded.

The information is further displayed in a table form below the chart, broken down into categories and number of concerns per severity level.




To see information in more detail on the chart, move your cursor over the desired field and information will be displayed, alternatively the information is also displayed in the table.

In this example we can see that the category "Family and social relationships" has 6 concerns in total and broken down:

  • Severity level 1 - Number of concerns 0 (Blue) - Low level concern
  • Severity level 2 - Number of concerns 1 (Green)
  • Severity level 3 - Number of concerns 3 (Yellow)
  • Severity level 4 - Number of concerns 0 (Amber)
  • Severity level 5 - Number of concerns 2 (Red) - High level concern

Genogram

Genogram.jpg The Genogram is an interactive tool for viewing the pupil's familial links.

Each of the family members can be dragged around on the page for ease of viewing.
We can also add associations that is not on your MIS but this is something you would like to keep a record of.




Genogramentry.jpg To add a new entry click on the "New" button at the top of the screen, you will be asked to fill out information and provide the relevant association with the student.

Simplified view

Simplifiedthumbs.jpg If you are using the Simplified view, you can only use this page to record information about pupils.

Search for the pupil that you want to record information for, by using the search bar at the top of the page. You can also filter the list of pupils by using the "Year" and "Reg group" drop-downs or alternatively with the A to Z of Surnames.

If you prefer to see a list of names rather than photographs, you can click the "View" drop-down and change the setting to "List" and you will see the view as a list.
